When do we use this?

Purge Old Data is used to remove records from the system that have not had activity associated with them in the last seven years.

 

Purge Old data is located in the Admin Options Menu.

Essentially the way the code is written, when you click on Purge Old Data, a list is formulated of pretty much any user activity and any associated record updates that have occurred in the last seven years. In fact any record could remain dormant for 5 years as an example. One small update to the data restarts the 7 year clock so to speak.

It actually uses this activity list as a bases for what to exclude from a purge. In effect the script then purges any data that is not on the activity list.

What gets purged? Pretty much everything such as records of: people and user profiles, vehicles, permits, violations,access cards,lockers, refunds, sent emails, etc.

Why Seven Years?

Typically there are legal ramifications to records keeping. For business records it is a common practice to hold records for 7 years before scheduling them for disposition.
